Privacy Policy of Pawhub.vn AI Assistant for pet

This policy applies to the PawHub website and PawHub mobile application (together, “PawHub”).
1. Controller and contact
PawHub is owned and directly operated by K&P TECHNOLOGY DEVELOPMENT SERVICES JOINT STOCK COMPANY (K&P TECH JSC), tax code 0319356233, with its registered address at 467/11A Le Dai Hanh, Quarter 13, Phu Tho Ward, Ho Chi Minh City, Vietnam. The legal representative is Truong Ngoc Phuong Tra. K&P TECH JSC is the legal entity responsible for providing PawHub services and processing user data; PawHub is the product name, not a separate company or client.
Privacy questions and requests may be submitted through PawHub Support or mailed to the address above.
2. Data we collect and how we collect it
Depending on the features you use, PawHub processes:
- Account and profile data: user ID, name, email address, profile photo, authentication provider, and optional profile fields you enter on PawHub web services, such as phone number or address.
- Pet and care data: pet name, species, breed, age or date of birth, sex, weight, notes, photos, medical and vaccination records, care activities, reminders, and notification preferences that you enter or generate by using PawHub.
- AI content: messages, recent conversation context, the selected pet profile and relevant care context, AI responses, source metadata, and photos you explicitly attach.
- Uploads: pet, profile, service, and chat images that you choose to upload.
- Device and notification data: an account-linked device endpoint identifier derived from the app vendor identifier, APNs device token, app environment, locale, and notification delivery state.
- Usage and operational data: account-linked product interactions and AI request metadata such as chat ID, message count, model name, token usage, and model latency. PawHub does not intentionally send chat text or uploaded photo content to PostHog analytics.
- Technical request data: IP address, request time, HTTP and security logs that are generated when a device communicates with PawHub infrastructure or a processor.
The iOS application does not request precise or coarse device location. Coordinates shown for listed services are service-location data, not the user’s device location. The iOS application does not collect audio.
3. Purposes and processing basis
PawHub uses data to create and authenticate accounts; provide profiles, care records, reminders, notifications, service discovery, and support; operate and secure the service; answer AI requests; show reviewed veterinary sources; measure reliability and feature use; comply with law; and establish or defend legal claims.
Core account and app data is processed to provide the service requested by the user and for PawHub’s legitimate security and operational interests. Optional features use data only when the user chooses them. When applicable law requires consent, PawHub requests an informed, voluntary, and affirmative action for the relevant processing purpose; silence or inactivity is not treated as consent.
4. AI processing
PawHub processes AI requests entirely within PawHub’s self-hosted backend infrastructure. Messages, relevant recent conversation context, the selected pet profile and care context, and photos the user explicitly attaches are processed to generate AI responses and are not shared with any third-party AI provider.
PawHub stores chat history in its own database so the user can reopen or delete a conversation. PostHog receives only account-linked product-use and model-operation events; PawHub does not intentionally send chat text or photos to PostHog.
AI responses are informational and are not a veterinary diagnosis or a substitute for examination by a qualified veterinarian. Health responses may show reviewed source links. For urgent symptoms, poisoning, breathing difficulty, severe bleeding, seizures, collapse, or other emergencies, contact a veterinarian immediately.
5. Analytics, sale, advertising, and tracking
PawHub uses PostHog product analytics to understand feature use and model operation. PawHub does not sell personal data, does not share personal data with a data broker, and does not link data collected from the iOS app with third-party data for advertising or advertising measurement. PawHub does not use third-party advertising or developer advertising/marketing in the iOS app and does not perform tracking as Apple defines that term.
6. Service providers supporting PawHub
PawHub uses service providers to support system operation, data and file storage, account authentication, notification delivery, and website content delivery. PawHub’s core data is stored on cloud infrastructure located in Vietnam. When a user chooses to sign in with Apple or Google, the selected provider processes the information necessary to authenticate the account. When notifications are enabled, the operating system’s notification service processes a device identifier and the information needed to deliver notifications to the device.
Service providers are permitted to receive only the data needed for the stated role and purpose. PawHub selects and manages its providers and applies appropriate terms and safeguards in accordance with applicable law. Data may be processed outside Vietnam when a relevant provider operates in another country; in that case, PawHub follows the legal requirements applicable to cross-border transfers and processing of personal data.
7. Retention and deletion
- Account/profile, pet, care, reminder, notification, and chat records remain until the user deletes the applicable chat or account, or PawHub applies its documented operational deletion process. No shorter automatic expiry is currently enforced for these records.
- Deleting a chat removes that conversation from PawHub’s chat database. An image uploaded for chat may remain in account-linked object storage until account deletion or operational deletion.
- Uploaded assets remain until the associated object is deleted, the account is deleted, or PawHub completes an operational deletion request.
- Account deletion first removes account-linked uploaded assets and then deletes or cascades application data. PawHub keeps a minimal anonymized account tombstone (for example, a generated non-deliverable address and deletion time) where needed to prevent account ambiguity, support security, and meet legal obligations.
- APNs endpoints remain while active and are deactivated when the provider reports an invalid token; account deletion removes account-linked endpoints through database deletion.
- PawHub’s PostHog project has no code-enforced per-user expiry. Analytics and provider-side operational metadata remain until the provider’s configured retention or PawHub’s documented operational deletion process applies. A user may contact PawHub to request deletion from processors where technically and legally available.
- Security, abuse-prevention, and legal records may be kept longer where reasonably necessary or required by law.
8. Chat deletion and account deletion
Individual conversations can be deleted from AI chat history. The full account and associated application data can be deleted from Profile → About → Delete account. For a request involving provider-side records that the in-app deletion path cannot automatically reach, contact PawHub Support.
9. Security
PawHub uses authenticated access, scoped account queries, transport encryption, restricted credentials, provider access controls, and deletion checks designed to reduce unauthorized access, loss, or misuse. No system is completely secure. Users should avoid adding unnecessary human personal data to a pet profile or AI prompt and should not rely on PawHub for emergency care.
10. Rights and complaints
Subject to applicable law, users may request access, correction, restriction, objection, portability, or deletion of personal data and may withdraw consent without affecting processing that occurred before withdrawal. PawHub may ask for information needed to verify the requester’s identity. Requests can be submitted through PawHub Support or by mail to the controller address. Users may also complain to the competent Vietnamese personal-data protection authority or another authority with jurisdiction.
PawHub may revise this policy when services, processors, or law change. If a material change introduces sharing of AI content with a third party, PawHub will update this policy and provide notice or obtain consent as required by applicable law before that processing begins.
